A HIPAA-Minded Policy and Admin Assistant
A specialty medical or dental group with six locations and 85 staff across front desk, billing and clinical teams.
Staff ask managers the same questions all day: what’s our policy, how do I code this, what does this payer need for prior auth. New hires take months to ramp. Some staff already paste patient notes into public AI tools to write letters and appeals, an exposure leadership can’t see.
Patient information is processed on the box in your practice, never sent to a cloud AI service.
- HR & onboarding: handbook, benefits and PTO answers, any time of day
- Billing: insurance appeal letters drafted, payer policy documents summarized
- Clinical admin: patient communications and referral letters drafted on the box
- Access by role: billing staff don’t see HR files
Questions that no longer reach managers, time for new hires to ramp, appeal turnaround, and shadow-AI use replaced with an approved tool.
Can our staff put patient information into AI tools?
Only into tools covered by a Business Associate Agreement, or systems you control. Consumer AI accounts aren’t covered. Reeve processes patient information on a box inside your practice, and a Business Associate Agreement with Inceptus is available on request.
Can AI write insurance appeal letters?
Yes, as a first draft. Reeve drafts the appeal from the denial, the payer’s policy and your notes, and a person reviews it before it’s sent.
